Inventorying your web/social properties is only part of the challenge before you. Each POP has one or more persons associated with it. You might have the person who created it or who currently manages the content on it...or the manager who is responsible for overseeing it. Regardless, if your organization is of any size, you probably have dozens if not hundreds (and we've seen thousands) of people who are managing social properties for the enterprise. Collectively, these people know your web and social footprint but their knowledge is not centrally collected and seldom is there one system tracking who is associated with what.
Your spreadsheet probably has some contact information but that can be challenging to collect and maintain. To make it easy to collect information about POPs, we pre-populated your account with four standard campaigns: "advocate_campaign", "corporate_outreach", "employee_outreach", and "suspicious_pop_dropbox". Each campaign has associated with it a Form and a Tag. Every POP that gets submitted via that form will be given the tag "Corporate" and the submitting person's contact information will be added to the POP. It’s also easy to create custom Campaigns and forms that meet your specific needs.
Using Campaigns, Tags and Contacts in this way is a fast way to:
- quickly learn about POPs that should be in your Inventory
- identify where your team thinks these should go in your Inventory (e.g. Corporate vs. Employee vs. Suspicious), and
- crowd-source who is associated with which POPs.
A POP submitted via a form will not change its location (e.g. it won't move a POP from Discovery to Inventory) but it will tag those POPs in Discovery which you should probably review first. For example, any POP in Discovery with the tag "Corporate" is a very good candidate for moving to Inventory or for other immediate action.
To add people to a campaign, just go to Contacts, select the people to add by using the Filter by Tags option or just checking the box beside the person's name in the table, selecting the bulk action of Add to Campaign, and click the Apply button. Those people will then be added to the Campaign and the Campaign is waiting to be sent in the Campaigns tab. When you need to, just hit the Resend button!
