You can attach notes to any or every POP you choose. Notes are a good way to store information about a POP either for later reference or to share with other team members. One might use notes to:
- record historical information ("I think Janet created this POP.")
- leave a note for a colleague ("We need to get the password for this account.")
- leave a note to yourself ("Be sure to upload new artwork to this POP.")
You can also email a person from inside a note. This is used to communicate with a contact regarding the specific POP. All notes sent in email and all responses (if person responds via the Brandle email) are placed on the notecard for historical reference. The ability to carbon copy (or CC) other people on the note is also available.
Click on the notebook icon to the right of the POP Identifier on the Discovery, Inventory, or GRC tabs to bring up the Notes window.
Additionally, the GRC system utilizes the notes feature to record compliance actions and GRC issues raised during a compliance review. All compliance notices sent to a contact are recorded in the notes for a POP as are all responses from a contact. This gives the compliance team an audit history for each POP. These issues are also listed in the Conditions and Issues View and can only be cleared either manually or via scoping. So only use this notes system if you wish to mark a POP as non-compliant for tracking purposes.
Pinned Notes
You can also create a Pinned Note that stays at the top of your POP Note and is editable. you may select to create a pinned note when you want to work on a process for a POP over time and only want to record the final action of the process into the historical note record.
